Sending schedule and limits

One row, in depth: what each tool does, the verified numbers, and who each suits.

Woodpecker details read from its pricing, home, features, integrations, agency and help centre pages on 21 October 2026.

Woodpecker

Adjustable daily limits and intervals, random gaps, adaptive sending; no figures shown

The short answer

Sending schedule and limits, in one look.

Both tools let you choose when mail goes out, cap daily volume and space sends apart. Warmerly has sending days, hours and a time zone per campaign, a second window in each lead's own time zone, daily limits per campaign and per mailbox, and a stretched gap between sends. Woodpecker publishes more detail on its default pacing and allows up to 3 sending windows. Its features page also lists adaptive sending, which it does not describe. Woodpecker is ahead on windows and on spelling out its defaults. Warmerly is ahead on a written ramp and on explaining why a campaign is not sending. Last checked 22 October 2026.

How Warmerly does it

Warmerly, in detail.

Days, hours and time zone per campaign, a recipient window, daily limits on the campaign and the mailbox, a ramp and a randomised gap.

01

Sending days, hours and time zone

Each campaign has its own sending days (Monday to Friday by default), a start and end hour (9 to 17 by default, any hour from 0 to 23) and a time zone (UTC by default until you change it). A campaign outside that window does not send, and its next send time is shown.

Warmerly product, checked 21 October 2026

02

A second window in the lead's own time zone

Steps that send are held until the recipient's local business hours, 8 to 17 by default, on the same sending days. The time zone comes from the lead's country, with region used first for the United States, Canada, Australia, Brazil, Mexico and Russia. A lead with no usable country falls back to the sender window, and each decision is saved against the lead.

Warmerly product, checked 21 October 2026

03

Daily limits on the campaign and the mailbox

A campaign has a daily limit, 30 by default and up to 50,000 through the API. Each mailbox has its own daily campaign limit, 30 by default and up to 1,000, and it counts every campaign that mailbox sends for. A send needs room under both, and under the ramp if one is on.

Warmerly product, checked 21 October 2026

04

A written volume ramp

A campaign can start each mailbox at 3 a day and add 1 for every sending day until it reaches 15, which is the 13th sending day. Weekends do not count, and pausing does not restart it. The ramp is off in the schema but switched on when a campaign is created for a mailbox under 14 days of warm-up. It can only lower a mailbox's cap, never raise it.

Warmerly product, checked 21 October 2026

05

A gap that is stretched at random

A mailbox waits at least 10 minutes between campaign sends by default. Warmerly then stretches each wait by 0 to 100 per cent, chosen from the last send, so a 10 minute minimum becomes 10 to 20 minutes. It never shortens your minimum. A separate floor of 90 seconds applies after any send from the mailbox, warm-up included.

Warmerly product, checked 21 October 2026

06

Fair order across campaigns

When two campaigns share mailboxes, the one that sent least recently goes first, and one that has never sent goes ahead of the rest. This was added after a campaign starved to zero sends over several days on shared mailboxes. Volume is still set by each campaign's own limit.

07

A plain answer to why nothing is sending

The campaign Overview names the reason in one line: allowance used up, no usable mailbox, nobody left to email, mail server held, today's limit reached, outside sending hours, or every lead waiting on a delay. It shows the next send time when there is one.

08

Where Warmerly is behind

Warmerly has one sender window per campaign and one recipient window, where Woodpecker allows up to 3 windows. Waits are set in days and hours, not minutes. Warmerly has no feature named adaptive sending, though its ramp holds volume down on young mailboxes.

How Woodpecker does it

Woodpecker, in detail.

Adjustable limits and intervals, random gaps, up to 3 windows and adaptive sending, with default pacing spelled out in the help centre.

01

Adjustable limits and intervals

The features page lists adjustable daily sending limits, customizable sending intervals and randomized sending frequency. It says emails go out in random time gaps to imitate manual sending. It gives no figures for any of these.

woodpecker.co/features · read 22 October 2026

02

50 new prospects a day by default

The help centre says the daily limit is set to 50 new prospects contacted per day by default. The quickstart words it as 50 opening emails a day and says it is capped at your currently active Daily Sending Limit. Follow-ups are put ahead of first emails in the queue, and that cannot be changed.

woodpecker.co/help-center/en/articles/5234153-how-woodpecker-sends-emails · read 22 October 2026

03

90 to 140 seconds between sends

By default emails are sent no more often than every 90 to 140 seconds, divided by random intervals, which the article puts at around 30 emails an hour from one address. The setting is separate for each address, and Woodpecker says it does not recommend lowering the defaults.

woodpecker.co/help-center/en/articles/5234153-how-woodpecker-sends-emails · read 22 October 2026

04

Up to 3 sending windows

You can add up to 3 windows to fit the prospect's daily schedule, and untick Sat and Sun to skip weekends. The article does not give a default start or end hour, and the quickstart's wording on the maximum of 3 is ambiguous about whether it is per campaign or per day.

woodpecker.co/help-center/en/articles/5234153-how-woodpecker-sends-emails · read 22 October 2026

05

Time zone from the country

Detection works only if the Country column is filled in, as a name or a code such as GB or US. For countries with several time zones you add the state. Postal codes are not used. You run detection from the Actions tab with Detect timezone, and the campaign option is to use the prospect's time zones if available.

06

Adaptive sending, named but not described

The features page says Adaptive Sending automatically detects upcoming provider limits and intervenes. The pricing page lists it twice without a description, and the help articles we read do not mention it.

woodpecker.co/features · read 22 October 2026

07

A monthly cap on contacted prospects

Plans are sized by contacted prospects, from 500 to 1 000 000, and the pricing FAQ says that once you pass the limit the campaign will not send new emails to new prospects. One prospect in five campaigns counts as 5. A plan is not upgraded automatically.

What Woodpecker does not say

We looked, and found no statement on these. That is about its published pages only, not about the product.

  • A maximum value for the daily sending limit
  • How adaptive sending works or what it does when it intervenes
  • Default start and end hours for a sending window
  • Whether the daily limit counts follow-ups or only new prospects
  • Whether the 50 a day applies per mailbox or per campaign
  • A volume ramp for campaign sending

Where the sources disagree

We report each version rather than pick one.

  • Woodpecker's quickstart words its default as 50 opening emails a day, while its sending article says 50 new prospects contacted per day. We treat them as the same limit and do not say how it counts follow-ups.
  • Woodpecker's features page lists Adaptive Sending, but the help articles we read do not mention it, so we cannot say how it behaves.

In practice

What it means for you.

Our reading of the facts above. Not a promise, and not the only reasonable reading.

1

Does the default day fit the default window

A Warmerly sending window of 9 to 17 is 8 hours, or 480 minutes. At gaps of 10 to 20 minutes, one mailbox fits 24 to 48 sends in that window (480 divided by 20, and by 10). The default cap of 30 fits on average, since 30 sends at 15 minutes each is 450 minutes. It would not fit if every gap ran to 20 minutes, because 30 x 20 is 600 minutes. Widen the window or lower the cap if you see a campaign finish its day late.

2

How long Woodpecker's default day takes

Its default is 50 new prospects a day, at 90 to 140 seconds apart. 50 x 90 seconds is 4,500 seconds, or 75 minutes. 50 x 140 seconds is 7,000 seconds, or about 117 minutes. So the 50 a day limit, not the spacing, is what ends the day. At around 30 an hour, 8 hours would allow 240 sends, well above 50. The pages do not say whether follow-ups count towards the 50.

3

One mailbox in one hour

At gaps of 10 to 20 minutes, Warmerly sends 3 to 6 campaign emails from one mailbox in an hour (60 divided by 20, and by 10). Woodpecker's default is around 30 an hour. That is the clearest difference in pacing: Warmerly spaces cold mail much further apart by default, and Woodpecker is ahead if you need volume from each mailbox.

4

A new campaign on a young mailbox

Take 5 mailboxes with the ramp on. Day 1 allows 5 x 3 = 15 sends. The ramp adds 1 per mailbox per sending day, so day 4 allows 5 x 6 = 30, which is the default campaign limit of 30, and from there the campaign limit is what binds. The ramp only reaches a mailbox's 15 on the 13th sending day.

5

Writing to another time zone

Warmerly's own example is a UK team mailing the US West Coast. A send planned for 09:00 UK time landed at 1am Pacific. It now waits for 08:00 to 17:00 Pacific. Woodpecker offers the same idea, but only where the Country column is filled in, and its help article says detection will not run for a prospect with no country.
