Main job, in one look.
Warmerly warms your mailboxes, watches their DNS, then sends cold email from them. Apollo is a B2B contact database with sequencing, calling, meetings and pipeline tools built on top. Warmerly also has its own company database, an email finder and a verifier inside the plan. It does not have a dialer, call recording or a CRM sync, and Apollo does. Apollo is also ahead on the size of its contact data, on named people with phone numbers, and on workflows and meeting tools. Warmerly is ahead on how many mailboxes a low price covers and on mailbox health checks you can run yourself. Many teams find people in one tool and send from the other. Last checked 22 October 2026.

A working day, in each tool's own order
What each one starts from, and where the email fits
Warmerly starts at the mailbox and the send, and has a lead database, finder and verifier inside the plan. Apollo starts at the contact database and adds calling and pipeline. Neither order is a ranking.
Warmerly, in detail.
Warmerly is built around the mailbox and the send: warmup first, then campaigns, with a company database, an email finder and a verifier included in the plan and metered by month.
Warmup is the starting point
Every mailbox on a plan is warmed on a ramp from about 4 messages a day at the start to 50 a day by day 30, and warmup is not a billing meter on paid plans. The warmup traffic goes to other mailboxes in a private network, never to your prospects.

Cold email from the warmed mailboxes
A campaign is a sequence of email and wait steps, with condition steps that branch on opened, clicked, replied or timeout. Each mailbox has its own daily campaign limit, 30 by default, so sending volume is mailboxes multiplied by that limit.

A company database, finder and verifier come with the plan
Lead finder turns a sentence such as "dental practices in the UK" into filters and searches Warmerly's own database. Searching is free; exporting a CSV or adding leads to a campaign uses the monthly lead allowance. The companies are those with a published way to contact them, not a list of named individuals.

Allowances reset monthly and failures are free
Starter includes 5,000 verifications, 1,000 email lookups and 500 lead exports a month. A lookup that finds no address, or that errors, is not counted. Allowances reset on the 1st and do not roll over.

Deliverability checks you can run yourself
The domain health card checks SPF, DKIM, DMARC and blocklists and shows pass, warn, fail or unknown, and unknown is never shown as green. A placement test sends a probe from your mailbox to up to four target mailboxes and reports inbox, promotions or spam.

LinkedIn is an add-on
A LinkedIn account is $19 a month on top of the plan, with no trial. It runs inside the same sequence as the email steps. A 3-account pack is $49 a month and a 5-account pack is $75.

What it is not
Warmerly has no dialer, no call recording and no CRM sync that we found in the product code or docs. It does not sell a database of named people with phone numbers.

Apollo.io, in detail.
Apollo describes itself as one connected go-to-market system: contact data, AI research and workflows, then outreach and calling, with deliverability tools inside it.
A go-to-market system
Its home page headline is "Grow revenue with one connected GTM system", split into three layers it calls Data, Intelligence and Execution. The pricing page calls it "the all-in-one platform to grow your business".

A contact database at the centre
The home page says "240M+ contacts and 30M+ accounts" and the product menu says "Access 240M contacts & 30M companies". The two pages round the figure differently. These are Apollo's own figures and we have not checked them.

Credits pay for data
The pricing page lists an email at 1 credit, a phone number at 8 credits, data enrichment at 1 to 8 credits, an AI research run at 1 credit and the US dialer at 1 credit per 30 seconds. International dialing varies by region.

Outreach is included on every account
The pricing FAQ says "email campaigns are included on every Apollo account". Free plans connect Gmail accounts only; paid plans connect Microsoft Office or any other email provider.

Sequencing limits by plan
Free has 2 sequences per team. Basic and above list unlimited sequences, and Professional and Organization add A/Z testing. AI writing is capped at 5,000, 250,000, 800,000 and 1,000,000 words a month from Free to Organization.

Deliverability sits inside it
The home page says "Domain warming, inbox rotation, and reputation monitoring help keep outreach landing where it should." On the price cards, Deliverability Suite and Email Warmup, and Domain and Mailbox Purchasing, are listed from Basic upwards, not on Free.

Calling, meetings and pipeline
Call recording is 150 minutes on Free and Basic, 4,000 on Professional and 8,000 on Organization. Meeting events run 1, 3, 6 and unlimited. A US dialer is listed from Basic with credits applying, and an Advanced Dialer add-on is $119 per team a month on annual billing.

What Apollo.io does not say
We looked, and found no statement on these. That is about its published pages only, not about the product.
- Any independent check of the 240M+ contacts figure
- Which of the home page's deliverability features, such as inbox rotation, each plan includes
- Whether the "Custom" plan in the FAQ is the same thing as the Organization plan on the price cards
- Apollo's knowledge base articles, which returned an access error when we tried to read them again on 2026-10-22
Where the sources disagree
We report each version rather than pick one.
- Apollo's FAQ describes a Custom plan and a free Starter plan, while its price cards show Free and Organization. We use the names on the price cards and note the FAQ wording.
- Apollo's FAQ says free plans connect Gmail only, while the rendered comparison table lists Gmail and Microsoft for Free. We report both and do not say which applies.
- Apollo's FAQ says API access is on Custom plans, while the price cards list API Enrichment from Basic. We report both.
Only what we could verify.

What it means for you.
Our reading of the facts above. Not a promise, and not the only reasonable reading.
Start from the problem
If you need a large pool of named buyers with phone numbers, Apollo is built for that and Warmerly is not. If you already have your lists and your mail is landing badly, the mailbox work in Warmerly is the part Apollo's pages describe least.
What a phone number costs in credits
Apollo lists a phone number at 8 credits and an email at 1. Basic's 30,000 credits a year would cover 3,750 phone numbers if spent on nothing else (30,000 divided by 8), or 30,000 emails. Free's 900 credits a year, granted monthly, is 75 a month, about 9 phone numbers or 75 emails.
Dialer minutes in credits
The US dialer is 1 credit per 30 seconds, so a 10 minute call is 20 credits. Ten such calls cost 200 credits, which is under 1 percent of Basic's 30,000 a year (200 divided by 30,000 is 0.67 percent). Dialer credits only matter if your reps call all day.
Two tools can be one workflow
Find and enrich in Apollo, warm and watch the mailboxes in Warmerly, then send from whichever tool you prefer. Apollo's Basic plan lists email warmup, so run one warmup tool per mailbox, not two.
Count what a seat buys
An Apollo seat bundles data credits, calling and CRM tools you may not use. Organization is $119 per seat with a 3 seat minimum, which is $357 a month on annual billing before add-ons. A Warmerly plan bundles mailboxes, warmup and sending. Price the parts you will really use.
Searching is free on one side only
In Warmerly, searching Lead finder costs nothing and an email lookup that finds nothing is not counted, so a 1,000 lookup allowance is 1,000 found addresses. In Apollo, the page prices an email at 1 credit, so 1,000 emails is 1,000 credits, which is 3.3 percent of Basic's 30,000 a year (1,000 divided by 30,000).
Pick the one that fits.
Warmerly is the better fit if
- Your outreach problem is reaching the inbox, not finding names
- You want a flat price per plan rather than per seat
- You send from several mailboxes per person
- You want warmup and DNS checks on every mailbox on the plan
- Company contacts with a published address are enough for your lists
Apollo.io is the better fit if
- A large contact database is what you are buying
- Your reps call, record calls and log to a CRM in the same tool
- You work in a team where each person needs a seat anyway
- You want pipeline, meetings and workflows beside the email
- You need named people with phone numbers rather than company contacts
Is Warmerly an Apollo.io alternative?
For outreach and deliverability, yes. For a very large business contact database with phone numbers and calling, no: Warmerly has its own company database and email finder, but Apollo's data is its core product.
Can I use both?
Yes. Many teams find and enrich contacts in Apollo and warm and send from Warmerly. Avoid running two warmup tools on one mailbox.
Does Warmerly have a dialer or call recording?
No. We searched the product code and docs and found neither. Apollo lists a US dialer from Basic upwards and call recording on every plan, from 150 minutes on Free to 8,000 on Organization.
Does Warmerly sell a database of people?
Not named people with phone numbers. Lead finder searches companies with a published way to contact them, and the LinkedIn search tab uses your own connected LinkedIn account.
