Daily sends

One row, in depth: what each tool does, the verified numbers, and who each suits.

Apollo details read from its pricing page and FAQ, product pages and help centre on 21 October 2026.

Warmerly

No cap on sends on paid plans; each mailbox keeps its own daily limit, 30 by default. Free: 100 campaign sends a month.

Apollo.io

250 emails a day on Free and Basic; no daily limit on Professional and Organization, under a fair use policy. Help articles advise 50 to 100 a day per mailbox.

The short answer

Daily sends, in one look.

Neither tool lets a mailbox send without limits. Warmerly has no send meter on paid plans, and each mailbox has its own daily limit, 30 by default. Apollo's pricing page lists 250 emails a day on Free and Basic and no daily limit on Professional and Organization, under a fair use policy. Its help article recommends 50 to 100 a day per mailbox, 10 to 20 an hour and 60 to 300 seconds between emails. Apollo's free plan allows more sending than Warmerly's, which is 100 campaign sends a month, and Apollo lets you set hourly limits and delays, which we found no setting for in Warmerly. How Warmerly does it

Warmerly, in detail.

No send meter on paid plans. What bounds volume is the number of mailboxes times each mailbox's own daily limit, then three brakes that only ever tighten it: the ramp, the bounce brake and the spam-flag factor.

01

Not metered on paid plans

Campaign sends are not metered on Starter, Growth and Agency: the plan table has no monthly send allowance for them. The Free plan allows 100 campaign sends a month. Paid plans are sold on mailboxes and leads, not on emails sent.

Warmerly product, checked 21 October 2026

02

A daily limit per mailbox

Each mailbox has its own daily campaign limit, 30 by default, and a campaign has its own daily limit field, also 30 by default. The docs say volume is mailboxes multiplied by each mailbox's daily limit.

Warmerly product, checked 21 October 2026

03

One total across campaigns

A mailbox that sits in several campaigns is checked against the same cap in total, so adding campaigns does not add volume. A cap that drops during the day below what was already sent stops that mailbox until the next day, and nothing goes negative.

04

A volume ramp for young mailboxes

A campaign can ramp each mailbox from 3 emails on sending day 1, adding 1 a day up to 15 by default. It is switched on automatically when a project has no mailbox yet or has a mailbox with under 14 days of warmup. A day means a sending day, so weekends hold the cap flat.

Warmerly product, checked 21 October 2026

05

The ramp can only tighten

A mailbox's cap is the lower of its own daily limit and the ramp cap. A campaign's cap is the lower of its daily limit and the ramp cap multiplied by its number of active senders, so cycling through more mailboxes does not skip the ramp.

Warmerly product, checked 21 October 2026

06

A bounce brake

Over a rolling 7 days a mailbox's cap is multiplied by 0.75 from 2 per cent bounces, 0.5 from 3 per cent and 0.25 from 5 per cent, and the mailbox is paused at 7 per cent. Under 25 sends there is no action, and the cap never falls below 1 a day until a pause.

07

A spam-flag factor from outside signals

A sweep of what each mailbox sends to the outside world can set a factor on the mailbox or workspace: 0.5 or 0.25 for a mailbox, 0.5 or 0.1 for a workspace. Recovery is gradual, 0.25 for each further clean 24 hour window. Warmup is never touched by these factors.

Where Warmerly is behind

Warmerly's Free plan allows 100 campaign sends a month, which is far below Apollo Free's 250 a day. We also found no hourly limit or delay-between-emails setting in the mailbox and campaign tables, where Apollo shows both.

How Apollo.io does it

Apollo.io, in detail.

A plan-level daily cap on Free and Basic, and per-mailbox limits you set (daily, hourly and a delay), with guidance on safe volume that differs between two Apollo pages.

01

250 a day on Free and Basic

The pricing page's Daily Emails Sends row lists 250 emails on Free and on Basic, and Unlimited on Professional and Organization. Free and Basic also list 1 mailbox per user.

02

Unlimited has a fair use policy

The FAQ says features labelled Unlimited have no set usage limit, but usage may still be subject to Apollo's Fair Use Policy.

05

What the counter counts

The Sent vs Limit counter covers the previous 24 hours of sequence emails, manual sequence emails, one-off emails sent through Apollo or the Chrome extension, and follow-ups. Warmup traffic and mail sent directly from your inbox outside Apollo do not count. Inbox placement test emails do count.

06

Your provider's limit sits above Apollo's

Apollo's limits are subordinate to the mailbox provider's. The article's example: a provider limit of 50 and an Apollo limit of 60 means you exceed your overall limit by 10. It lists Gmail Workspace up to 2,000 a day, free Gmail up to 500 and Microsoft 365 up to 5,000, and says these can change without notice.

10

More mailboxes on higher plans

The pricing page's Mailboxes per User row lists 1 on Free and Basic, unlimited Google and Microsoft mailboxes plus 5 SMTP mailboxes on Professional, and plus 15 SMTP mailboxes on Organization.

What Apollo.io does not say

We looked, and found no statement on these. That is about its published pages only, not about the product.

  • Whether Apollo enforces the 250 a day on Free and Basic per user or per team
  • What the Fair Use Policy actually limits
  • How Apollo's ramp-up is turned on and what its daily schedule is
  • The bounce rate at which Apollo's sequence autopause acts

Where the sources disagree

We report each version rather than pick one.

  • Apollo's pricing page lists 250 emails a day for Free and Basic, while its help article recommends 50 to 100 a day per mailbox. The first is a plan cap, the second is guidance, and we show both.
  • Apollo's help article says to start at 50 emails a day per mailbox, while its deliverability product page says a safe starting point is around 20 a day and not to exceed 50. We show both, read 2026-10-22.

In practice

What it means for you.

Our reading of the facts above. Not a promise, and not the only reasonable reading.

1

Mailbox count sets your real volume

Five Warmerly mailboxes at the default limit of 30 a day is 150 a day. Five Apollo mailboxes at its recommended 50 to 100 a day is 250 to 500 a day, with the mailboxes themselves limited by your plan.

2

What the first two weeks look like on the ramp

The default ramp starts at 3, adds 1 per sending day and stops at 15 on the 13th sending day. Added up, one mailbox sends 117 emails over those 13 days (3 plus 4 and so on to 15), against 390 at a flat 30 a day.

3

Apollo Basic's cap sits above its own advice

Basic lists 250 emails a day and 1 mailbox per user. At Apollo's recommended 50 to 100 a day, one mailbox sends 50 to 100, so the 250 plan cap is 2.5 to 5 times what the guidance would use. A user reaches 250 only by raising a mailbox limit above the advice.

4

Apollo Professional at 10 mailboxes

Professional lists unlimited Google and Microsoft mailboxes. Ten of them at the 50 a day starting point is 500 a day, and at 100 a day is 1,000, with no plan cap on the pricing page, subject to the fair use policy and each provider's own limit.

5

A slowed Warmerly mailbox

A mailbox at the default 30 that reaches 3 per cent bounces is cut to 0.5, which is 15 a day. A mailbox in the 0.25 band of the spam-flag factor falls to a quarter of its cap, and a workspace factor of 0.1 cuts every sender by 90 per cent.

Questions
Does Apollo limit how many emails I can send?

Its pricing page lists 250 emails a day on Free and Basic and no daily limit on Professional and Organization, subject to a fair use policy. Its help article recommends 50 to 100 a day per mailbox, 10 to 20 an hour and 60 to 300 seconds between emails.

Does Warmerly limit sends?

Not on paid plans, where sends are not metered. Each mailbox still has a daily limit, 30 by default. The Free plan allows 100 campaign sends a month.

How many emails a day should one mailbox send?

Apollo's help article says start at 50 and move up only at a 5 per cent reply rate, while its deliverability page says a safe start is around 20 and no more than 50. Warmerly's default is 30, with a ramp from 3 for young mailboxes. Neither number is a guarantee, because the mailbox provider's own limit applies as well.

What happens to emails over the limit?

In Apollo they stay scheduled and retry when capacity returns inside the rolling 24 hours. In Warmerly a mailbox that has used its cap stops being picked until the next day.
