Apollo Alternatives for Sending Cold Email When You Already Have a List (2026)
If you use Apollo mostly to send, you can pay less by moving the sending to a tool built for it. If you use it for its contact data, none of these replace that.

In this article
If you already have a lead list and Apollo is mostly your sender, the main alternatives are Instantly, Smartlead, lemlist, Woodpecker, Saleshandy, Mailshake and Warmerly. Several of them list unlimited connected email accounts, which Apollo does not: its own pricing articles give Professional 5 mailboxes and Organization 15. If you use Apollo for its contact database, though, none of these replace it. They send email. They do not find the people to send it to.
Why people look for an Apollo alternative for sending
Apollo bills per user. On annual billing its own articles list Basic at $49 per user per month, Professional at $79 and Organization at $119 with a minimum of three users. A three-person team on Basic is therefore $147 a month (3 x $49), before you count the credits it spends on data. Much of that price is the contact database. If your leads come from somewhere else, you are paying for a database you are not using.
The tools below price differently. Most charge by sending volume or by the number of contacts, not per person, and several let you connect as many mailboxes as you like. That suits a team that spreads sending over several mailboxes to keep each one's daily volume low.

What to check before you move your sending
- Where your leads will live. Apollo holds your contacts and your sequences in one place. Elsewhere you import a CSV or connect a data source. Check the import limits: Warmerly's Starter plan, for instance, allows 2,500 leads in one campaign and 5,000 active prospects.
- Whether the price depends on emails sent, contacts stored or people on the team. A tool that charges per contact gets expensive with a big list. A per-user tool gets expensive with a big team.
- How many mailboxes you can connect. Spreading volume over more mailboxes is the usual way to stay under each provider's limits. Compare the sending controls, such as a daily limit per mailbox, and not only the plan caps.
- Warmup. Several tools bundle it. Apollo's pricing page mentions warmup only in passing and does not say which plans include it. If you send from new mailboxes or new domains, find out whether warmup is included before you buy a separate tool.
- Replies. Check that replies from every mailbox arrive in one inbox, and that a reply stops the follow-ups. Our unified inbox comparison covers how each tool does this.

The alternatives, one by one
Instantly: built for many mailboxes
Instantly's Growth plan is $47 a month and its pricing page lists unlimited email accounts, unlimited email warmup, 5,000 emails and 1,000 uploaded contacts. The page shows two conflicting prices for its higher outreach tiers, so we do not quote them. Instantly is a good fit if you send from many mailboxes and bring your own list.
Smartlead: unlimited accounts and the best-documented team tools
Smartlead's Base plan is $39 a month for 6,000 emails and 2,000 contacts, and its pricing page says every plan includes unlimited email accounts at no extra cost. The higher tiers are $94 (90,000 emails), $174 and $379. Smartlead is the better pick when several people share one reply queue, because its Master Inbox has an Assign to button.
lemlist: the most volume at the entry price
lemlist's Email plan is $69 a month, or $55 on yearly billing, for 50,000 emails with unlimited users and senders, and lemwarm warmup is included in all plans. That is the highest entry volume in this list, so if you send a lot of email from a handful of mailboxes, lemlist is the stronger value. LinkedIn steps need its Multichannel plan at $109 a month. Our cheaper lemlist alternatives post has the detail.
Woodpecker: priced by prospects, not people
Woodpecker prices by contacted prospects, and a prospect added to five campaigns counts five times. Unlimited email accounts and team members are listed, extra warm-ups are $5 a month per account, and the trial is 14 days or 100 cold emails, whichever comes first, with no card. The pricing page did not make its entry price clear, so check the live slider.
Saleshandy: unlimited mailboxes and warmup from $41
Saleshandy Starter is $41 a month ($34 on yearly billing) with 6,000 emails, 2,000 active prospects, and unlimited mailboxes and warm-up per its page. Its page also lists sender-rotation figures that sit oddly beside "unlimited", so check the limits before you buy.
Mailshake: simple, but check the mailbox limit
Mailshake's Starter plan is $29 a month for 1,500 sends and one email address per account. Email Outreach is $49 with unlimited sends and two addresses per account. Its FAQ says it collects payment up front, so there is no free trial. The low address count is the thing to weigh if you want to spread volume over many mailboxes.
Warmerly: warmup first, sending included
Warmerly has a free plan with one mailbox, 100 campaign sends a month and no card. Paid plans are $19 a month for 5 mailboxes and $49 for 25, with a 7-day trial and no charge until day 8. Every mailbox is warmed, authentication is monitored daily, and campaigns can combine email, LinkedIn and WhatsApp steps. You bring a list by importing a CSV. There is no monthly send cap on paid plans, but each mailbox sends at most 30 campaign emails a day by default, and new mailboxes ramp up slower than that. Warmerly also has its own lead database and email finder, but it is not a copy of Apollo's data, so test it on your market before you rely on it.
Which one should you pick?
- You need Apollo's contact data: stay on Apollo for the data. You can still send from another tool, and export your leads to it.
- You send from many mailboxes on a modest volume: Smartlead, Instantly or Saleshandy, which all list unlimited connected accounts.
- You send a very high volume from a few mailboxes: lemlist.
- You pay per person and have a small team that needs a sender, not a database: any of these will likely cost less than Apollo's per-user plans. Run the sum with your own numbers.
- You want warmup, sending and replies in one product, with a free plan to test: Warmerly.
Frequently asked questions
What is the best Apollo alternative for sending cold email?
It depends on how you send. Smartlead, Instantly and Saleshandy list unlimited connected email accounts. lemlist gives the most monthly emails at its entry price. Warmerly has a free plan and warms every mailbox. None of them replaces Apollo's contact database.
Can I keep Apollo for data and send from another tool?
Yes. Export your leads from Apollo as a CSV and import them into the tool you send from. That way you keep the data and stop paying for sending features you do not use. Check the import limits of the tool you choose.
How much does Apollo cost?
Apollo's own articles list Free at $0, Basic at $49, Professional at $79 and Organization at $119 per user per month on annual billing, with a three-user minimum on Organization. Apollo says monthly billing costs more but does not give the figures in the pages we read. Check apollo.io/pricing.
Does Apollo include email warmup?
We could not confirm which plans include it. Apollo's pricing page mentions email warmup next to credits but does not say which plans get it, and its comparison articles do not describe a warmup tool. Instantly, Saleshandy, lemlist, Mailshake and Warmerly state that warmup is included.
Do these tools replace Apollo's contact database?
No. They send email to a list you bring. Warmerly has its own lead database and email finder, but it is not a copy of Apollo's data.
